A cactus instead of a door handle — a metaphor for an overdue invoice, Colecta invoice monitoring
SOUND FAMILIAR?

Tired of listening to excuses and wasting time trying to get your money back?

Reminders, calls and chasing every late payer — it eats up the time and energy your core business needs. Let Colecta do it for you: individually tailored solutions, customer-focused communication and immediate results.
How it works
“We have hundreds of client accounts on deferred payment terms, and honestly — manually tracking who hasn't paid what and when is simply not physically possible. Colecta took over this invoice monitoring completely: every account is looked after, reminders go out systematically, and nothing slips through the cracks any more. The volume of overdue invoices fell by around 40%, and our receivables finally became predictable.”

“The tyre business is seasonal — twice a year there's a peak when invoice volumes surge, especially from vehicle fleets on deferred payment terms. And right at the peak, when everyone is busy in the workshop, chasing invoices usually ends up last on the list. Colecta solves this automatically, and the reminder includes a payment link — the client pays in two clicks. The share of overdue invoices fell from around 18% to 6%, and working capital is freed up exactly when it's needed most at the seasonal peak.”

“In transport, payment terms are 30–60 days, but fuel and leasing have to be paid today — the money gets frozen somewhere in between. I no longer want to be the one calling clients to remind them about invoices. Colecta's invoice monitoring does it for me, politely and on time, and the money for our journeys started arriving closer to the due date — the actual time to payment fell by around 11 days.”

“The seed trade lives in two seasons — spring and autumn — and that's exactly when there are the most invoices and the least time. Colecta's invoice monitoring sends reminders automatically right at the height of the seasonal wave, so the money comes in faster and we can put it to work straight away. The average time to payment fell by around 10 days, and the gentle tone keeps the customers who come back every season.”

“Fruit and vegetables mean lots of invoices with short payment terms — even a few days' delay is a real problem, because the produce has long been eaten while the money still hasn't arrived. Before Colecta, our reminders were chaotic and depended on whether the accountant had time that day. Now every buyer gets a timely, friendly reminder, and the money for the goods arrives on time. The share of overdue invoices fell from around 22% to 8%, and our relationships with buyers stayed exactly as good as before.”

“Our flow is seasonal — in spring and autumn we invoice thousands of farms, and then spend the next month chasing the money ourselves. With Colecta's invoice monitoring, reminders go out automatically and calmly, without me having to open a spreadsheet every morning and work out who to call. At the seasonal peak the money came in faster, and the average time to payment fell by around 9 days. And, importantly, not a single farmer has taken offence, because the tone is gentle.”

“We work with projects and stage payments, and around 60% of our business is exports — a complex payment flow where it's easy to lose track of the status of each invoice. At first we doubted whether the service would suit our model of larger, less frequent invoices, but it's precisely in such cases that a timely reminder delivers the greatest value. After implementation, the number of late payments roughly halved, and payments now arrive as agreed.”

“In leasing, timely monthly payments are essential for a stable cash flow. It was important for us to be sure that automated communication would keep a professional approach our clients would accept, especially small and medium-sized businesses — and the regular reminders improved payment discipline without losing the positive relationship. The share of late monthly payments fell by around two thirds, and our cash flow became significantly more predictable.”

“In our cooperation with this company, we particularly value their professional attitude and high level of customer service. The team is always open to solving problems, quickly gets to grips with every situation and looks for the most effective solution. I would especially like to highlight their responsiveness and quick reactions — questions and non-standard situations always receive timely answers, which makes day-to-day work considerably easier. We confidently recommend this company as a competent and reliable partner in overdue invoice administration.”

FREQUENTLY ASKED QUESTIONS

Answers to the most important questions

What is Colecta's fee and how is it calculated?

The price of the Colecta service is a monthly fee based on the number of debtors submitted in a given month (the number of invoices does not matter — what counts is the number of clients). One debtor may have several invoices — you pay only for unique debtors. For an exact price, use the calculator or book a free consultation.

Which accounting systems and integrations are available?

Colecta provides an API for data exchange with your system (Horizon, Tildes Jumis, 1C, Microsoft Dynamics and others). Data is retrieved and/or delivered automatically via the API connection.

Won't you damage my relationships with my clients?

No! Colecta's communication style is professional and polite — reminders and conversations are designed to preserve business relationships while resolving the issues that are holding up invoice payment.

What happens if the debt is not paid within 60–90 days?

After 60–90 days, there is the option to hand the case over to the Verdikts collection agency, which will start the debt recovery process.
